The Director of Benefits and HR Operations is a key member of the HR leadership team and is responsible for all “back of house” areas of HR for the company including Benefits, HRIS, maintaining the company’s compliance with required postings across all relevant states, file management and file compliance.  The incumbent plans and directs the overall design, implementation, communication and administration of the organization’s health and welfare programs, ensuring that the programs adhere to current regulations and support the organization’s strategic objectives. Directs the operations of the company’s Human Resource Information Systems, analyzing business requirements and determining needs. Ensures the integrity and accuracy of digital and paper records.

The Director of Employee Benefits and HR Operations plays a vital role within our organization as it works with and supports all levels within Shane Co. to provide incredible benefits for our people. This role is extremely service focused and requires a hands-on, player-coach leadership style.


Development and Management of Staff

  • Provides day to day management of work assigned and produced by assigned staff in the areas of Benefits, HRIS and HR Administration
  • Develops staff toward full potential

Benefits and Rewards

  • Provide strategic direction and tactical execution of all elements of employee benefits and perks (perquisites). Ensure effective benefits and rewards philosophy and programs are in place and evolve to support employee demographics. Partner closely with benefits broker(s) and providers to deliver desired outcomes.
  • Regularly benchmark company programs and monitor external trends in order to proactively adjust plans and program to remain competitive. Keep CHRO informed of any needed plan changes or unusual employee situations related to company benefits.
  • Direct Annual Benefits Open Enrollment, including presentation to key management, employee communications, plan design changes and system changes, ensuring deadlines are met.
  • Maintains all benefits plan for the organization including Health and Welfare plans as well as FSAs, voluntary benefits, Employee Assistant program, 401(k) and company “perks” site
  • Maintain positive working relationships with vendors/insurers/Third Party Administrators
    • Ensure billings are paid timely
    • Work with vendors to resolve problems
    • Negotiate contracts with new or existing vendors as needed.
  • Manages Workers Compensation injuries and reporting, including filing claims, working with employees, partnering with provider and OSHA 300 report.
  • Ensure benefit plans are communicated to employees and reference materials are readily available
  • Resolve or oversee resolution of employee benefit issues; Serve as the employee contact for escalated inquiries.
  • Advise, assist and lead management in understanding benefit plan parameters and specifics
  • Runs internal 401(k) committee and serves as primary liaison to 401(k) advisor.
  • Fosters strong partnership with Finance team and actively ensures good working relationships with payroll team.

Human Resource Information Systems

  • Supports and develops maximum use of HRIS systems, analyzing business requirements and determining hardware and software needs to meet management needs for HRIS/Payroll software, working closely with the Payroll and Finance team. Conducts requests for proposal as needed if system changes must be made, recommending any needed changes to senior management.
  • Manages and supports all systems of the organization that relate to HRIS, including the payroll/human resources management system, applicant tracking system and any other related systems, monitoring system performance and identifying areas where improvement is needed.
  • Configures the HRIS system to meet ongoing business needs, working with staff to provide necessary production support, upgrades, patches and resolution of problems. Collaborates with vendors as needed.
  • Ensures the integrity of internal database files, tables and reports in the company’s electronic system of record, including strong partnership with internal I.T. and I.T. Security teams as necessary.
  • Produces and analyzes needed or requested reports on a scheduled or ad hoc basis to support HR functions, including compensation, compliance, performance management, workforce analysis, benefits billing, government or state reporting, or as required by teammates or company leaders.

Human Resources Records Retention and Compliance:

  • Manages all elements of Human Resources record keeping and records procedures in compliance with state and federal law, as well as company policy.  Responsive to outside state or federal agencies as called upon or required.
  • Ensures the integrity of paper files and records, ensuring accuracy, confidentiality and appropriate chain of custody for records.
  • Establish and ensure ongoing consistent, accurate work flow processes to effectively manage creation, distribution, return and record keeping of key documents to include offer letters, promotions letters, pay rate changes, transfers between departments/locations or roles, acknowledgement of such items as handbook and bonus policies and all other forms of paper or electronic records.  Maintain personnel records with accuracy, including compliance with requirements for records retention. Audit records with regularity.
  • Produces records as needed for legal or other matters, assuring confidentiality.
  • With staff, provide administrative support to the organization and department in the areas of regular reports (such as turnover, EEO reporting, OSHA reporting, Summary Plan Descriptions etc.), verifications of employment, completion of background checks, keeping posted materials in all locations up to date, filing, billing etc.

Work Environment

This role is a hybrid of remote work and in-office work. The incumbent must be able to be effective using both in-person communication as well as remote communication methods (phone, zoom, slack etc.)  Considerable business is conducted using the telephone and computer technology. This role is regularly in home office. We expect this role will be in the Home Office an average of three days per week. More may be required depending on business need. Travel may be required to buying venues and stores as much as 10% of the time.

The salary range for this role is $125,000 to $170,000 per year. The range describes the minimum to maximum likely rate for this job description in the state of Colorado. Individual pay will be determined based on skills and qualifications for the role. The salary range for this same position may be lower or higher in markets outside of Colorado.

  • Bachelor’s degree or higher is required.
  • Broad familiarity with all areas of Human Resources is required. Certification by recognized HR organization such as CEBS, IFEBP, SHRM or HRCI strongly preferred.
  • Demonstrated experience with self-insured health plans is very strongly preferred.
  • Demonstrated experience with Benefits provider negotiations, Benefits program administration, Benefits program design, compliance filings in areas related to Benefits and familiarity with OSHA filings required.
  • Must have extensive experience with ERISA, COBRA, HIPPA, FMLA, ACA and other benefits compliance requirements. Strong understanding of leave of absence requirements, including California specific laws is preferred.
  • Experience with 401(k) management and Open Enrollment administration are required.
  • Experience with vendor management, Work Life programs and Workers Compensation administration desirable.
  • Experience with employee data management, HR Metrics & Analytics and Human Resource Information Systems strongly preferred. UltiPro experience would be highly desirable, including experience with UltiPro BI reporting.
